Debriefing Clerk Duties

A debriefing clerk plays a key administrative role in logistics, transport, or warehouse environments, focusing on ensuring accurate documentation, compliance, and communication with both drivers and internal teams.

  • Debrief drivers at the start and end of each shift, recording feedback, incidents, vehicle defects, and performance issues; highlight any concerns to management[2][5].
  • Accurately process cash, cheques, and returned goods received from drivers onto debriefing documents, ensuring records and reconciliations are up to date[1][6].
  • Validate, process, and manage returns to maintain inventory accuracy and seamless operations[6].
  • Reconcile purchase orders, collect delivery documentation, manage re-deliveries, and verify each purchase order against trip sheets and proof of deliveries[7].
  • Ensure all Proofs of Delivery (PODs), stock, and scrap are correctly processed during vehicle offloads; manage stock rotation, claims processing, and system updates (e.g., SAP)[8].
  • Handle customer or driver issues as the first point of contact, escalating concerns as needed and ensuring efficient service delivery[4].
  • Monitor driver attendance and communicate with drivers regarding anomalies, acting in line with company HR policies[2].
  • Prepare weekly reports and assist in delivering key performance indicators (KPIs) to meet contractual and organizational requirements[2].
  • Issue and monitor critical assets such as fuel cards and site maps; report discrepancies to management[2].
  • Communicate with warehouse and other teams to resolve dispatch, stock, or delivery issues promptly[4].
  • Support general administration functions within the transport or warehouse department as needed[4].
