Senior Admin Clerk Duties

A Senior Administrative Clerk performs a wide range of complex and responsible clerical and administrative duties, typically in support of management or department directors.[1][3]

  • Provide responsible clerical support to assigned managers, including composing correspondence, preparing reports, and drafting documents from oral or written instructions.[1][3]
  • Answer telephones, greet and assist visitors, and handle inquiries from the public, outside agencies, and internal staff with tact and diplomacy.[2][3]
  • Maintain appointment schedules, calendars, and make travel arrangements for management staff.[1][4]
  • Manage filing systems and maintain both physical and electronic records and databases.[1][5][7]
  • Assist in preparing meeting rooms, attend meetings to take detailed minutes, and disseminate information to staff.[4][5]
  • Prepare, sort, and forward incoming and outgoing mail, emails, and faxes.[2]
  • Compile, tabulate, and maintain financial, statistical, and budgetary records, including processing bills, reconciling accounts, and monitoring contracts or budgets.[1][7][8]
  • Operate standard office equipment such as computers, printers, photocopiers, fax machines, and, if required, specialized systems (e.g., fingerprint scanners, radio communication equipment).[2][7]
  • Provide technical and functional supervision over other clerical staff, temporary employees, or volunteers, offering training or oversight as needed.[3][7]
  • Interpret and apply departmental policies, rules, and procedures with independent judgment in situations where standard procedures may not apply.[7]
  • Support special administrative or technical projects as assigned by management.[3]
  • Establish and maintain effective working relationships and communicate clearly and concisely, both orally and in writing.[1]
